The Maine Jewish Museum is now Hiring a Staff Assistant (15 hrs per week)
Popular non-profit Museum is looking for a staff assistant to help to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness and communication. A successful applicant should have experience with a variety of office software (email tools, Constant Contact, spreadsheets) and be able to work well with other staff, such as Art Curators, volunteers, including Bookkeeper, President of Board, Hall of Fame Committees and Program Committee, as well as outside Consultants, to support their efforts. Ability to update and create Social Media postings is a plus. Schedule is flexible.

Responsibilities

  • Maintenance/cleaning management
  • Maintain office conditions and arrange necessary repairs when needed
  • In coordination with Bookkeeper ensure that all items are invoiced and paid on time
  • In coordination with Curators create communication pieces for art show mailings, emails etc;
  • In coordination with Program Committee help to organize and publicize upcoming programs
  • In coordination with Hall of Fame Planning Committee, help organize and plan for annual HOF induction event including attendee tracking and correspondence and communications with advertisers and sponsors
  • In coordination with Hall of Fame Nominating Committee, keep nomination data base up to date and complete bios as needed.
  • In Coordination with President of Board, prepare and send out thank you notifications, fundraising PR, and other correspondence
  • Help with programming and special events preparation, organization and planning

Skills

  • Proficiency in MS Office
  • Familiarity and proficiency with email and Constant Contact and Excel. Experience with fundraising database tools, like GoDaddy & Nation Builder is a plus.
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills in a fast-paced environment
  • A creative mind with an ability to suggest improvements
